AI Workflow Automation & Business Systems Specialist

About the Role

We are looking for a mid-level AI E-Commerce Content & Automation Specialist who can combine e-commerce content, AI-powered creative production, customer-service technology, and workflow automation. The role will focus on using tools such as Make.com, Microsoft Power Automate, n8n, Zapier, OpenAI/ChatGPT, Google AI Studio/Gemini, and similar platforms to improve and automate business workflows.

The role will support Amazon and Walmart operations, including light marketplace tasks and coordination with outside specialists handling marketplace strategy, A+ Content, PPC, and advanced optimization. Amazon/Walmart familiarity is helpful but not required at an expert level.

The role will also support AI-generated product imagery and video, Zendesk and AI customer-service initiatives, and the development of practical AI-powered workflows and agents. This is a long-term opportunity for a practical, mid-level implementer who is curious about furniture, home products, interior environments, or product design and wants to continuously learn, document, and improve business processes.

Role Priorities:

Responsibilities

1. AI Workflow Automation & Practical AI Agents - 45%

• Build, test, deploy, document and maintain business workflow automations using Make.com and Microsoft Power Automate as preferred platforms; n8n, Zapier or comparable platforms are also relevant.

• Translate Chromcraft SOPs and management requirements into working automated processes.

• Integrate approved AI tools such as ChatGPT/OpenAI, Google AI Studio/Gemini, Claude or similar systems into business workflows.

• Build practical internal AI agents and assistants for repetitive business tasks, research, routing, summarization, reporting and internal decision support.

• Design workflows with appropriate human-approval checkpoints for sensitive actions.

• Test for data-quality issues, exceptions, AI hallucinations, failed steps, duplicated actions and other operational risks.

• Create clear documentation for every production workflow, including purpose, trigger, inputs, logic, outputs, approvals, failure handling and ownership.

• Maintain and improve existing workflows as Chromcraft's business requirements change.

• Work with NEXT or other technical specialists when complex ERP/API development is required; this role does not need to independently build complex custom APIs.

2. Zendesk & AI Customer Service Systems - 30%

• Participate directly in Chromcraft's Zendesk implementation and ongoing administration.

• Configure and maintain knowledge-base content, macros, triggers, routing rules, automations, forms and AI-assisted customer-service workflows.

• Help implement, test and improve Zendesk AI / AI-agent functionality for consumers, dealers and sales representatives.

• Test AI responses for accuracy, escalation logic, warranty/product information, order-related requests and brand tone.

• Identify which customer questions can be answered from the knowledge base, which require live ERP/Shopify data, and which should be escalated to a human CSR.

• Coordinate with Zendesk, NEXT and other external technical resources where API or advanced integration work is required.

• Become Chromcraft's internal owner/resource for ongoing Zendesk workflow maintenance and improvement.

3. Internal AI Tools, Reporting & Productivity - 15%

• Build practical AI-assisted workflows across Microsoft 365, including Outlook, Excel, SharePoint, OneDrive, Teams and Power Automate, for reporting, approvals, notifications, document handling, recurring summaries and other business processes.

• Automate recurring summaries, exception alerts, data review, document preparation and other repetitive office processes.

• Help standardize internal workflows and reduce manual work while preserving management visibility and approval

4. Amazon/Walmart Coordination & Light Execution - 10%

• Coordinate with Chromcraft's Amazon/Walmart agency or other marketplace specialists when needed.

• Understand basic Amazon Seller Central and/or Walmart Seller Center workflows well enough to assist with approved listing/content updates, QA, troubleshooting or data preparation.

• Help verify that agency-created marketplace assets and approved content are implemented correctly when assigned.

• This role is not responsible for independent A+ strategy, advanced marketplace advertising/PPC strategy, or serving as the primary Amazon/Walmart growth manager.

Competencies and Qualifications

Must-Have

• Microsoft Power Automate expertise does not need to be advanced if the candidate demonstrates strong workflow-automation fundamentals and can work effectively across the Microsoft 365 ecosystem.

• Demonstrated hands-on experience building business automations in Make.com, Microsoft Power Automate, n8n, Zapier or a comparable workflow platform. Strong Make.com experience is preferred; practical Microsoft Power Automate / Microsoft 365 workflow experience is strongly preferred.

• Candidate must be able to demonstrate at least one real workflow they personally built or materially contributed to.

• Practical experience with AI tools such as OpenAI/ChatGPT, Google AI Studio/Gemini, Claude or comparable platforms.

• Hands-on Zendesk experience OR meaningful experience implementing/administering another customer-service/ticketing platform. Direct Zendesk experience is strongly preferred.

• Strong business-process thinking: ability to understand a manual SOP, identify automation opportunities, define exceptions and build a reliable workflow.

• Basic understanding of APIs, webhooks, JSON or system integrations sufficient to work effectively with technical vendors. Advanced custom API development is not required.

• Strong English communication, troubleshooting ability, attention to detail and documentation discipline.

• Evidence of employment stability and genuine interest in a long-term, full-time role.

• Willingness to work with at least 3-4 hours of overlap with U.S. Pacific Time, as mutually agreed.

Nice-to-Have

• Amazon Seller Central and/or Walmart Seller Center familiarity.

• Experience automating workflows across Microsoft 365 applications such as Outlook, Excel, SharePoint, OneDrive and Teams; Shopify, ERP-connected workflow or e-commerce operations experience is also useful.

• Basic Python or scripting familiarity.

• Experience with AI-generated images/video is useful but no longer a core requirement.

• Interest in furniture, home products and understanding how operational systems support the customer experience.
