Together we are building a world that is safe, comfortable, and sustainable. Our diverse team of experts spreading to National territories create innovative, integrated solutions to make cities more connected, buildings more intelligent and environments more comfortable and secure.  The Office of Operational Intelligence & Automation (OOIA) was established to drive how Rex Moore uses data, automation, and AI across the business — from pre-construction and estimating through project delivery and back-office operations. This role is among the first in the department and will help shape how the company works as we modernize our tools and systems. Watch Our Story: About Rex Moore Group, Inc. - YouTube  Job Overview:  The AI & Automation Specialist is a hands-on, execution-focused role responsible for building and operating the automations, integrations, and AI-powered workflows that make Rex Moore more efficient. Working under the direction of the Director of Operational Intelligence & Automation, you will turn defined priorities into working systems — connecting tools, automating processes, and putting AI to work on real business problems. We are modernizing our enterprise technology, and we are looking for someone ready to grow with us. You should be comfortable learning and working across modern ERP, CRM, and enterprise platforms, with a strong foundation in the durable skills that transfer across any tool: building connectors and integrations, designing automations, and working effectively with APIs and data. Rather than mastery of one specific stack, we value adaptability, curiosity, and the ability to pick up new systems quickly. On the data side, this role works at the front of the stream — capturing and measuring data from field and departmental sources, transforming it into usable form, pulling what’s needed from business systems, and putting it to work intelligently through automations and AI workflows. This position is not responsible for architecting or managing the central data infrastructure; rather, it focuses on capturing operational data at the source and activating it where it creates value. This role reports to and is directed by the Director of OOIA. It suits someone energized by execution, who takes ownership of the day-to-day, and who wants to be the person who makes automation and AI work across a growing organization. Key Responsibilities and Essential Tasks: Automation & Workflow Optimization Build, operate, and continuously improve automations across business functions — capturing data, routing work, handling documents, and streamlining approvals and operational processes Identify daily friction points and manual processes and implement practical automations that save time and reduce error Own the day-to-day health of deployed automations: monitor, troubleshoot, and resolve issues quickly Prioritize and execute automation work as directed, while bringing forward your own ideas for what to improve next Integrations & Connectors Build and maintain integrations that connect business systems — ERP, CRM, and other enterprise platforms — so that data and processes flow smoothly between them Work fluently with APIs, webhooks, and structured data (JSON) to connect tools that weren’t designed to talk to each other Build and configure workflows and connectors on modern automation platforms (such as n8n, Power Automate, Make, or similar); select the right integration approach for reliability and maintainability Adapt quickly as our enterprise toolset evolves, building integrations on new platforms as we adopt them AI Tools, LLM Management & Prompting Manage the organization’s AI tool integrations, connectors, and prompt libraries; keep them current and effective Build AI-powered automations that handle real business tasks — document processing, data extraction, summarization, and decision support Develop, test, and refine prompts and instructions for recurring AI workflows; improve output quality over time Configure and extend AI assistant capabilities through connectors and integrations (such as MCP connectors, API integrations, or platform extensions) that let AI tools work with internal data and systems Track AI usage, output quality, and cost across deployed workflows; flag issues and opportunities Operational Data: Capture, Transform & Activate Capture and measure data from field and departmental sources, getting it into usable, structured form Transform and clean data so it can be used reliably in automations, reporting, and AI workflows Pull data from business systems as needed and put it to work intelligently — surfacing insight, driving automation, and supporting decisions Partner with the team responsible for the central data infrastructure, feeding clean operational data forward into the broader pipeline Enterprise Deployment, Enablement & Training Support the rollout and adoption of AI and automation tools across departments — configuration, onboarding, and ongoing support Teach and support AI usage across the organization; help employees and department champions use new tools effectively and responsibly Create user-facing guides, documentation, and training materials that non-technical colleagues can follow Apply and help reinforce responsible-use and data-handling practices in partnership with IT Scripting & Custom Development Write Python scripts to handle data transformation, API calls, file processing, and logic that off-the-shelf tools can’t handle cleanly Work fluently with JSON and structured data across APIs and integrations Apply good practices — version control, error handling, clear documentation — so your work can be maintained over time QualificationsKnowledge, Skills and Abilities:  Hands-on experience building business automations and integrations using modern workflow and automation platforms (such as n8n, Power Automate, Make, Zapier, or comparable tools) Experience connecting systems via APIs, webhooks, and connectors, and working with structured data (JSON) Practical experience using AI / LLM tools — connecting them to workflows, writing effective prompts, and managing integrations Python proficiency: scripting, API calls, JSON handling, data transformation, error handling Ability to capture, transform, and work with data from multiple sources Comfort learning and working across modern ERP, CRM, and enterprise platforms — adaptable and quick to pick up new tools Strong troubleshooting skills and a self-directed, execution-oriented work style Clear communication and the ability to teach non-technical colleagues how to use new tools Preferred Experience with AI provider APIs in production workflows Experience with ERP and/or CRM integration and automation SQL or other database query experience Experience supporting enterprise tool rollouts and user adoption / training Familiarity with responsible-AI and data-handling practices Version control experience (Git) Background or interest in construction, contracting, or project-based industries Core Competencies You take direction and run with it. You finish what you start and keep it running. Execution: You learn new tools and platforms quickly and aren’t tied to one way of doing things — important as we grow and modernize. Adaptability: You treat what you build as yours — you monitor it, fix it, and improve it. Ownership: You pick the right tool for the job and favor simple, reliable solutions. Pragmatism: You can teach a non-technical colleague how to use a new tool and write documentation people actually follow. Communication: Physical Requirements:   Ability to verbally communicate: convey detailed and accurate instructions and information. Ability to hear with or without correction in order to receive and interpret detailed information. Required to sit at a desk work station for long and short periods of time. Push, pull, lift and carry at least 10 pounds. Occasionally required to walk and stand. Required to have visual acuity with or without correction in order to read and interpret contract information and view information on a computer monitor. Required to use fingers and hands: type using a computer keyboard, handle, feel, and reach. May occasionally be required to stoop, kneel, and crouch.   What Success Looks Like In your first 90 days, you have learned our tools and priorities, taken ownership of existing automations, and shipped new ones that save measurable time. You are the reliable hands-on operator the department can direct work to with confidence. At six months, you run a healthy portfolio of automations and AI workflows, you have helped multiple departments adopt new tools, and you are bringing forward your own ideas for what to optimize next. You are growing into our modernizing enterprise systems. At one year, the business depends on the automations, integrations, and AI workflows you operate. Manual effort is down across multiple functions, AI adoption is broader and more confident, and you are a central part of how OOIA delivers.
